4 Reasons to Monitor Your Fax Server

March 30, 2019 By Fax Girl Leave a Comment

monitoring

Many organizations don’t proactively monitor the health of their fax servers. Sometimes it’s because they don’t have the time or staff to dedicate to the task; sometimes it’s because they don’t actively fax every single day; and sometimes it’s because they use some type of fax automation solution to handle their daily faxing needs. Whatever the reason, not monitoring a fax server can lead to inefficiencies around the office as well as many other unexpected issues.

Here are four reasons why every organization should proactively monitor the health of their fax server.

#1: Compliance

Compliance can become tricky when your fax server goes down without you knowing about it. Many industry regulations require information to be timely submitted and tracked via an audit trail. Trying to send a fax when your server is down can lead to delays and other unintentional errors that may put you at risk of violating your industry’s regulations. Maintain compliance by proactively staying on top of your fax server’s health!

#2: Lost/Delayed Sales

If you rely on your fax server to send and receive purchase orders, unexpected outages can lead to delayed and even lost sales. If your customers cannot fax you an order, you run the risk of having them go elsewhere to have their needs met. Don’t lose out on sales just because your fax server is down without you knowing about it.

#3: Poor Customer Service

If you use fax as a method of communicating with clients, having an inoperative fax server is like leaving the phone off the hook. Any communication they send over will not be received, and their frustrations will be taken out on your staff. Don’t let a fax server outage reflect poorly on your business!

#4: Inefficiency

Unexpected outages leave your team members scrambling to fix the issue at the worst possible time: when they are simply trying to send or receive a necessary fax. If you proactively monitor your fax server, you will be notified of outages, allowing your team (or your fax support provider) to begin diagnosing and fixing the issue right when it happens. This allows your team to continue their day-to-day tasks without unexpected interruptions.

The Easy Way to Monitor Your Fax Server

You don’t have to dedicate a member of your team to stand guard over your fax server and make sure it is working every hour of every day. The Fax Guys offers a simple, affordable solution to fax server monitoring: FaxPing.

FaxPing is an automated fax monitoring and alert service that pings your fax server throughout the day. Test faxes can be sent up to every 15 minutes on a 12 or 24-hour cycle. If your fax server is down, you will receive a notification that something is wrong. Learn more about our fax monitoring solution today!
